Results The Drop Inn Center has felt an immediate positive impact from the Financial Infrastructure Improvement. In December 2003, we hired an accountant with over 20 years of experience in both the for-profit and non-profit sectors.

Having a trained accountant on staff has led to an improvement in our finance and accounting practices. For instance, we have nearly completed our move from cash to accrual accounting, which will allow us to more accurately track our finances than our current system. This transition will be complete at the beginning of our fiscal year on July 1. Another financial improvement resulting from our grant is the availability of budgets and financial reports for each program and funding source. Previously, we could only produce reports according to funding source. This increased detail allows us to create budgets with much more accuracy.

In the future, we look forward to using our improved fiscal capabilities to scrutinize our spending patterns to allow us to cut unnecessary spending. Also, we will be able use our strong financial abilities as one of the strengths we can show the community in our marketing and fundraising efforts.

Results Foundation funds were to be used to renovate the space used for medical services, install a hand-washing sink in the dining room, and install a new serving line with a sneeze guard for the evening meal.  Work began in January 2000 to develop plans for the renovated space and locate the sink and serving line.  The renovation of the medical space was completed in August 2000.  The hand sink was installed in November 2000.  The original estimate for the serving table was $2,500. The cost for the equipment and installation was actually $14,864.  The Drop Inn Center attempted to raise the additional dollars or work with a manufacturer to get a serving line at reduced cost.  Neither of these happened and the Foundation approved a variance of $12,500.00 and one year in length to complete the project.  The total final amount for the grant was $57,500.  The serving line was completed and installed by November 2001.

The organization effectively:
  • hired a coordinator to oversee the volunteer coordination and recruitment program
  • completed the installation and implementation of the Donor Perfect database
  • created the organizational framework needed for effective management of the database
  • established a process for the development and expansion of the Center’s volunteer program

The volunteer coordinator completed the MVP program, and effectively transitioned the program to another Drop Inn Center Staff member so that the program did not end after the 18-month grant period.
